Exporting Your Obsolescence Report from Dealertrack

Dealertrack (now part of Cox Automotive) includes parts inventory reporting within its DMS. Here’s how to locate, filter, and export your obsolescence data.

  1. Log in to Dealertrack DMS, navigate to the Parts module, and select Reports (or Inventory Reports depending on your version). Locate the Obsolescence Report — it may also be labeled Inventory Aging or Parts Obsolescence.
  2. Set your filters before exporting. Use Months No Sale to define your threshold (e.g., 6, 9, or 12 months with no activity). You can also narrow by Source/Bin for specific locations, and choose whether to include parts with zero on-hand quantity.
  3. Look for the Output Type or Destination dropdown menu. Instead of selecting your physical printer, choose Excel, CSV, or Email.
  4. If you select Excel/CSV, the system will prompt you to name the file and choose a save location. If you select Email, enter your email address — Dealertrack will send a download link or attachment to your inbox.
  5. Click Run, Print, or Generate to process the report.

If the file doesn’t download immediately, check your Spooler or Report Queue within Dealertrack — the report status should show “Completed” when it’s ready.

  1. Open Report & Analyze — look for the pie chart icon in your CDK interface.

  4. Click Run, then in the output dropdown, select Export CSV.
  5. Use the Dictionary Library to make sure the “Last Sale Date” and “On Hand” columns are included in your export.
